TL;DR Download each monthly Citizens Bank statement as a PDF, convert it into a spreadsheet with one row per transaction, and confirm that the opening balance plus every transaction equals the closing balance before you do anything else. Then fix dates, tag transfers between your own accounts, categorize, and save a CSV copy shaped for QuickBooks, Xero or whatever software you use. The online banking transaction export is handy for recent activity, but the PDF statement is the record that lenders, auditors and tax preparers will ask for.
Citizens is one of the larger regional banks in the United States, and a lot of small businesses, landlords and households keep their everyday accounts there. Sooner or later most of them need those statements in a spreadsheet: for a tax preparer, a loan application, a catch-up bookkeeping project, or simply to see where the money went last year.
This guide covers the full job from start to finish. We'll look at which file to start from, what's inside a typical statement, three ways to convert it, how to check the result, and how to shape it for Excel or accounting software. Citizens, like every bank, updates its online banking screens over time, so we describe the steps in general terms rather than promising exact button labels.
Statement PDF or transaction download?
Almost every bank gives you two ways to get your data out, and it helps to know what each is good for before you start.
The transaction download. Online banking usually lets you export recent activity in a spreadsheet-friendly format such as CSV, and sometimes in formats meant for personal finance or accounting tools. It's fast and already in rows and columns. The trade-offs: the available date range may be shorter than your statement history, pending transactions can appear and later change, and there's no opening or closing balance, so you have nothing to check the totals against.
The PDF statement. The monthly statement is the official record of the period. It shows the opening balance, the closing balance, every posted transaction, and the fees and interest for the cycle. It's usually available further back than the download, and it's the document a mortgage underwriter, an auditor or a court will request.
| What you need | Best starting point |
|---|---|
| A quick look at this month's spending | Transaction download |
| Bookkeeping for months you've fallen behind on | PDF statements |
| Supporting documents for a loan or visa | PDF statements, plus the spreadsheet |
| Reconciling your accounting software | PDF statements, because you need the balances |
| Activity older than the download range | PDF statements |
When in doubt, start from the PDF. You can check a download against a statement, but you can't check a download against nothing. If you're missing months, our guide on how to get old bank statements explains the usual options.
Save each statement with a predictable file name such as citizens-checking-2026-04.pdf. When you have twelve months of checking, savings and a credit card in one folder, consistent names stop you from converting the same month twice or skipping one.
What's on a Citizens Bank statement
Citizens statements follow the familiar shape of US bank statements. You can expect most of the following, though the exact layout varies by account type and over time:
- An account summary with the statement period, the beginning balance, totals for deposits and withdrawals, and the ending balance.
- Transaction detail, often grouped by type: deposits and other credits, checks paid, and withdrawals or other debits, each with its own subtotal.
- A daily balance listing on many checking accounts, showing the balance at the end of each day with activity.
- Fee and interest information for the period, sometimes with year-to-date totals.
- Messages and disclosures that aren't transactions at all.
Credit card statements are organized differently. They typically show a summary with the previous balance, payments, credits, purchases, fees, interest and the new balance, followed by a list of transactions and an interest charge calculation.
That grouping by type is the main thing to plan around. If you convert section by section, the spreadsheet ends up sorted by type instead of by date, and checks paid on the 3rd appear after debit card purchases from the 28th. That makes a running balance impossible to compare against the daily balance list. The fix is to merge every section into one chronological list and keep a "section" column so you still know which rows were checks, which were deposits and which were card purchases.
Three ways to convert the PDF
1. Copy and paste
Open the PDF, select the transaction text, and paste into Excel. For a quiet account with a dozen transactions this is fine, and it costs nothing. On a busy account it gets messy fast: columns merge into a single cell, long descriptions wrap onto a second row, amounts paste as text, and dates usually appear without a year.
If you go this way, these tools help:
- Text to Columns (Data tab) or
TEXTSPLITto break a pasted line into date, description and amount. NUMBERVALUE(C2)to turn text like1,204.55into a number.DATE(2026, LEFT(A2,2), MID(A2,4,2))to build a real date from04/17when the year isn't printed.
2. Excel's PDF import
Desktop Excel can pull tables out of a PDF through Power Query (Data, Get Data, From File, From PDF). It lists the tables it detects on each page and lets you load the ones you want. On statements where transactions sit in neat tables, the results can be decent. Where the layout is text rather than true table structure, you'll see split rows, missing sections, or headers repeated on every page. Our Power Query guide for bank statements shows how to clean up what it returns.
3. A purpose-built converter
A bank statement converter is designed for exactly this layout problem. SheetStatement's PDF bank statement to Excel converter reads the statement, merges the sections into one chronological ledger, fills in the year from the statement period, and runs a balance check before you export. You can download Excel, CSV, or files shaped for QuickBooks and Xero.
The free plan covers 3 pages a month, which is enough to test it on a real Citizens statement. Paid plans are Starter at $9, Pro at $19 and Business at $39 a month, which mostly matters if you're converting a full year or handling statements for several clients.
Whichever method you choose, the target shape is the same:
| Date | Description | Amount | Balance | Section |
|---|---|---|---|---|
| 2026-04-01 | ONLINE TRANSFER FROM SAVINGS | 500.00 | 2,914.10 | Deposit |
| 2026-04-02 | DEBIT CARD PURCHASE GROCERY | -86.42 | 2,827.68 | Withdrawal |
| 2026-04-03 | CHECK 2041 | -1,150.00 | 1,677.68 | Check |
One row per transaction, real dates, one signed amount column with money in as positive and money out as negative, and a running balance where possible.
Prove the spreadsheet is complete
Do this before you categorize, before you import, before anything. A spreadsheet that's missing one transaction looks exactly like one that isn't.
The test:
Beginning balance + sum of all amounts = ending balance
If the beginning balance is in H1, the ending balance in H2, and amounts are in column C:
=ROUND(H1 + SUM(C2:C500) - H2, 2)
You want 0. Anything else means something is missing, doubled, or carries the wrong sign.
To find the exact row, add a running balance. In D2 enter =H1 + C2, in D3 enter =D2 + C3, and fill down. Then compare against the daily balances printed on the statement. The first day that disagrees is where the problem sits, and the size of the difference usually tells you what kind of problem it is:
- Difference equals one transaction amount: that transaction is missing or duplicated.
- Difference equals twice a transaction amount: that transaction has the wrong sign.
- Difference equals a section subtotal: a subtotal line was read as a transaction.
- Small odd difference like 0.09 or 9.00: a typo or digit transposition, which is common after manual retyping.
If you'd rather not build the formulas, our free balance checker does the same test.
Clean and organize the data
Once the numbers tie out, make the spreadsheet comfortable to use.
Dates
Check that dates are real Excel dates, not text that looks like dates. =ISNUMBER(A2) should return TRUE. If it returns FALSE, DATEVALUE, Text to Columns, or a type change in Power Query will fix it. Be careful with statements that span December and January: a converted date of 01/03 on a statement that runs December 15 to January 14 belongs to the new year.
Descriptions
Bank descriptions often contain card numbers, store numbers, cities and reference codes. Keep the original column for your records and add a cleaned "Payee" column beside it. A lookup table that maps messy strings to clean names, such as anything containing AMZN to Amazon, pays off every month you reuse it.
Transfers
Transfers between your own Citizens accounts, payments to your credit card, and moves to savings aren't income or expenses. Tag them first. If you skip this, both your income and expense totals will be inflated by the same amount, which is easy to miss and confusing to untangle later.
Categories
Add a category column and fill it with a rules table and XLOOKUP or SEARCH. Our guide to Excel formulas for categorizing bank transactions has formulas you can paste straight in. For a business, use category names that match your chart of accounts so the work carries straight into your accounting software.
Turn it into a table
Select the data and press Ctrl+T. A table keeps formulas consistent as you add rows, makes filtering easy, and feeds pivot tables directly. For a broader checklist, see how to clean bank statement data in Excel.
Preparing a file for accounting software
If the spreadsheet is a stepping stone to accounting software, shape the CSV for that software instead of hoping it guesses correctly.
QuickBooks Online accepts a three-column layout (date, description, amount) or a four-column layout (date, description, credit, debit). Keep one month per file and make sure dates match the format you choose during import. Our QuickBooks Online import guide walks through it, and if you hit a rejection, QuickBooks Online CSV import errors lists the usual causes.
Xero has its own statement import template, with a date, an amount and optional payee, description and reference columns. See the Xero CSV import format guide.
QuickBooks Desktop imports QBO (Web Connect) files rather than CSV for bank feeds. SheetStatement's QuickBooks export can produce that format.
A few rules that apply everywhere:
- Import oldest month first, one month at a time.
- Don't overlap an import with a bank feed that has already pulled the same dates, or you'll create duplicates.
- Reconcile each month against the statement ending balance right after importing.
A worked example
A two-person bookkeeping client runs a small cleaning company with a Citizens business checking account and a Citizens business credit card. They want six months of activity in Xero before meeting their accountant.
- Gather the files. Six checking statements and six card statements, renamed by account and month.
- Convert. Each PDF is converted into a spreadsheet. The checking account averages about 70 transactions a month, the card about 40.
- Check balances. Eleven of the twelve tie out immediately. One card statement is off by $1,312.40. The running balance shows the issue on the payment date: the payment received from checking was recorded as a purchase instead of a credit. Flipping the sign brings the difference to zero, which matches the rule that a wrong sign doubles the difference ($656.20 × 2).
- Tag transfers. The six monthly card payments are tagged as transfers on both the checking and the card side, so they don't show up as expenses.
- Categorize. A rules table covers supplies, fuel, the van lease, payroll service fees and insurance. About 50 leftover items are categorized by hand.
- Export. Each month is exported in Xero's statement layout.
- Import and reconcile. Months are imported oldest first, then reconciled in Xero.
The total job took a few hours. The step that saved the most time was again the balance check: finding a wrong sign in a spreadsheet is a two-minute fix, while finding it after reconciliation fails in Xero is not.
Troubleshooting common problems
The year is missing from every date. Statements often print dates as month and day. Add the year from the statement period, and watch periods that cross the new year.
Deposits and withdrawals are in separate columns. That's fine for some imports, but for checking balances you need one signed amount. Use =Deposits - Withdrawals in a new column, with blanks treated as zero.
Checks show a number but no payee. That's normal. Add payees from your check register or check images if you need them for categorizing.
Amounts are left-aligned and won't sum. They're text. Use NUMBERVALUE, multiply by 1, or run Text to Columns and click Finish.
Header rows repeat in the middle of the data. Each page of the PDF repeats the column headings. Filter the description column for the heading text and delete those rows.
Duplicates after combining months. Statements don't overlap, but downloads can. If you mixed the two, remove duplicates on date, amount and description, then rerun the balance check. Our guide to combining multiple bank statements in Excel covers the setup.
A simple monthly routine
Once the backlog is done, keeping up takes very little time:
- Download the new statement when it's available.
- Convert it and confirm the balance check passes.
- Tag transfers and categorize.
- Append to your workbook or import into your accounting software.
- Reconcile against the ending balance.
If you'd like that routine as part of a wider close process, our month-end close checklist puts it in context.

FAQ
Can I download a Citizens Bank statement directly as Excel?
Online banking typically offers a download of recent transactions in a spreadsheet-friendly format, but the monthly statement itself is a PDF. If you need full statement periods, older months, or the beginning and ending balances, convert the PDF.
How do I know the conversion is complete?
Add up every transaction and add it to the beginning balance. If the result equals the ending balance on the statement, nothing is missing. If not, a running balance compared with the statement's daily balances shows where the gap is.
Does this work for Citizens credit card statements too?
Yes. The layout is different, but the approach is the same: one row per transaction, a consistent sign convention, and a check that the previous balance plus activity equals the new balance.
Can I import the result into QuickBooks or Xero?
Yes. Export a CSV in the layout the software expects, or a QBO file for QuickBooks Desktop, import one month at a time, and reconcile each month afterward.
What if my statement is a scan rather than a digital PDF?
Scanned statements need OCR or an AI-based reader before they can be converted. Check the balances carefully afterward, since scans are more prone to misread digits. Our guide to converting scanned bank statements explains the options.
Is it safe to upload bank statements to a converter?
Check how the service handles files before uploading. SheetStatement's security page explains how statements are processed and stored.
