Converting scanned bank statements: how OCR and AI changed the game
By SheetStatement Team · · 7 min read
Loan applications, divorces, estate work and tax audits regularly require statements from years ago—often only available on paper or as low-quality scans.
Why classic OCR struggled
Traditional OCR outputs characters and positions. It doesn't know a column of numbers is a balance, that a description wraps to the next line, or that "1,2O4.5O" is a misread number. The result was hours of manual fixing.
What changed
Vision-language models read the page the way a person does: they see a table, understand headers like Withdrawals and Deposits, and output structured rows. Combined with a deterministic balance check, errors become visible instead of silent.
Getting the best results
Scan at 200–300 DPI in grayscale, keep pages straight, and avoid shadows when using a phone. Upload the whole statement so the opening and closing balances are available for the reconciliation check.
Skip the retyping
Upload a PDF or scanned statement and download a balance-checked Excel, CSV, QuickBooks or Xero file. Try the converter free.
