TL;DR Start from the monthly Fifth Third statement PDF rather than an activity export, convert it into one row per transaction with a signed amount column, and confirm that the beginning balance plus the activity equals the ending balance. For a business, add a category that matches your chart of accounts, flag owner draws, transfers and loan payments, and export one month at a time in the format your accounting software expects. Hand your accountant the PDFs, the spreadsheet and a short balance log showing each month ties out.

Fifth Third is a regional bank with a large footprint in the Midwest and Southeast, and it's popular with small businesses as well as households. If you've ever had to send a year of Fifth Third statements to an accountant, load them into QuickBooks after falling behind, or build a cash flow summary for a lender, you know that a stack of PDFs isn't much help on its own. The numbers need to be in a spreadsheet.

This guide is written with business owners and bookkeepers in mind, but every step applies to personal accounts too. We'll cover choosing the right source file, converting it, verifying it, shaping it for accounting software, and packaging it for an accountant. Bank websites change over time, so we describe online banking in general terms rather than giving exact menu paths.

Start with the right file

Online banking usually offers two ways to get transactions out.

The activity export gives you recent transactions as a file you can open in Excel. It's quick, but it usually has a limited date range, may include pending items, and doesn't include the statement period's beginning and ending balances. Without those balances, you can't prove the export is complete.

The statement PDF is the official monthly record. It has the balances, every posted transaction, fees and interest, and it typically reaches further back. It's also what an accountant, auditor, lender or tax authority will treat as the source document.

For bookkeeping, reconciliation or anything you'll share, use the statement PDFs. Before converting:

  1. List the accounts involved: operating checking, payroll account, savings, business credit card.
  2. Download every month in your range for each account.
  3. Name the files consistently: fifththird-operating-2026-02.pdf, fifththird-card-2026-02.pdf.
  4. Write down each month's beginning and ending balances in a simple table. Each ending balance should equal the next beginning balance. A break in that chain means a missing statement.

If older months aren't available online, how to get old bank statements explains the usual options.

What to expect inside the statement

Fifth Third statements follow the general structure of US bank statements, with some variation by account type:

  • A summary with the statement period, beginning balance, total credits, total debits and ending balance.
  • Transaction detail, often separated into groups such as deposits and credits, withdrawals and debits, and checks.
  • A checks paid list, sometimes printed in several columns across the page.
  • Daily balances on many checking accounts.
  • Service charge information for business accounts, sometimes summarized separately from the transaction list.
  • Notices that aren't transactions.

Business accounts tend to be busier, with more pages, more checks and more electronic payments. That makes manual conversion slower and increases the odds of a dropped line, especially at page breaks where a transaction's description may continue on the next page.

Converting the PDF to Excel

You have three practical options.

Manual copy and paste

Select the text in the PDF and paste into Excel. On a 2-page statement with 20 transactions this is manageable. On a 12-page business statement, it isn't. Common issues: columns collapsing into one cell, descriptions wrapping onto separate rows, multi-column check lists being read across, amounts stored as text, and dates without a year. If you do go manual, use Text to Columns or TEXTSPLIT, convert amounts with NUMBERVALUE, and build dates with DATE.

Excel's PDF import

In desktop Excel, Data, Get Data, From File, From PDF lists detected tables on each page. Load the transaction tables, append them, and clean the result. It can work well on simple layouts but often needs cleanup: repeated headers on each page, split rows, and missing sections. Our Power Query bank statement guide covers the steps.

A bank statement converter

SheetStatement is designed for statement layouts. It merges transaction groups into one chronological ledger, splits multi-column check lists into separate rows, carries descriptions across page breaks, adds the year from the statement period, and runs a balance check before export. You can download Excel, CSV, a QuickBooks file or a Xero-ready CSV.

The free plan includes 3 pages a month so you can test it on a real Fifth Third statement. For a year of business statements, Starter ($9 a month), Pro ($19) or Business ($39) gives you more pages; Business is designed for bookkeepers handling multiple clients.

The target layout:

Date Description Amount Balance Group Check no.
2026-02-02 CARD SETTLEMENT DEPOSIT 3,482.19 18,204.77 Deposit
2026-02-03 CHECK -2,600.00 15,604.77 Check 4417
2026-02-03 ACH PAYROLL SERVICE -6,912.40 8,692.37 Withdrawal

Verify before you do anything else

The balance check proves the spreadsheet contains every transaction with the right sign.

With the beginning balance in L1, the ending balance in L2 and amounts in column C:

=ROUND(L1 + SUM(C2:C2000) - L2, 2)

Zero means complete. Anything else needs investigating. A running balance in column D (=L1+C2, then =D2+C3 downward) compared against the statement's daily balances shows the first day things go wrong.

For business statements, also check that your totals match the summary block:

Total credits: =SUMIF(C:C, ">0")
Total debits: =SUMIF(C:C, "<0")

If credits match but debits don't, the problem is on the debit side, which narrows the search considerably. If the debit difference equals the total of the checks list, the checks weren't picked up at all.

Our free balance checker runs the core test without formulas.

Shape it for business bookkeeping

Once the data is verified, prepare it for the books.

Add a category matching your chart of accounts

Use the same account names your accounting software uses: Rent, Payroll Expenses, Merchant Fees, Utilities, Supplies, and so on. A rules table plus a lookup formula handles the regulars. Our guide to categorizing business expenses from bank statements covers how to design the rules.

Flag items that aren't income or expenses

These are the lines that cause the most bookkeeping errors:

  • Transfers between your own accounts, such as operating to payroll.
  • Credit card payments, which pay down a liability.
  • Loan payments, which usually split between principal (a liability) and interest (an expense). The statement shows only the total, so your accountant may need the lender's statement too.
  • Owner draws and contributions, which affect equity, not profit.
  • Sales tax remittances, which clear a liability rather than counting as an ordinary expense.

Give each its own category or flag so they never land in income or expenses by accident.

Note card settlement deposits

If you accept card payments, deposits from your processor are often net of fees, or fees are charged separately at month end. Either way, the deposit isn't the same as your gross sales. Note the processor and leave the gross-versus-net question to your bookkeeping process; our guide on reconciling Stripe payouts to a bank statement explains the general approach.

Importing into accounting software

QuickBooks Online. Import a CSV with date, description and amount, or date, description, credit and debit. One month per file, oldest first. See importing a bank statement into QuickBooks Online, and if the upload fails, QuickBooks Online CSV import errors.

QuickBooks Desktop. Bank imports typically use QBO (Web Connect) files rather than CSV. SheetStatement's QuickBooks export produces this format.

Xero. Use Xero's statement CSV layout. See the Xero CSV import format guide.

Three rules regardless of software:

  1. Don't import dates that a bank feed has already pulled in, or you'll create duplicates. If you do, our guide to QuickBooks duplicate transactions after import explains cleanup.
  2. Reconcile each month to the statement's ending balance right after import.
  3. Keep the PDF for each month attached or filed where your accountant can find it.

Packaging statements for your accountant

Accountants appreciate a tidy handoff. A good package includes:

  • The original PDFs, named by account and month.
  • The converted workbook, with one transactions table, an Account column and a Source file column.
  • A balance log, one row per statement: beginning balance, sum of transactions, ending balance, difference. Every difference should be 0.00.
  • A notes list for anything unusual: a large one-off deposit, a loan advance, an owner contribution, a refund from a supplier.

This turns "here are some PDFs" into something they can review quickly, which can reduce back-and-forth.

Building a cash flow summary for a lender

Business lenders often ask for several months of statements and may want to understand the pattern of money coming in and going out. A converted spreadsheet makes it straightforward to prepare a clear summary before they ask.

Start from your verified, categorized table. Then build a monthly view with these rows:

Row What goes in it
Beginning balance From the statement
Customer receipts Card settlements, customer payments and cash deposits
Other inflows Refunds, loan proceeds, owner contributions (shown separately)
Operating outflows Suppliers, payroll, rent, utilities, fees
Debt payments Existing loan and lease payments
Owner draws Money taken out by the owners
Ending balance From the statement

The beginning balance plus inflows minus outflows should equal the ending balance for each month. If it doesn't, a flag or category is wrong somewhere.

Two things make this summary more useful to a reviewer. First, keep loan proceeds and owner contributions out of customer receipts; mixing them in can make revenue look higher than it really is, and an underwriter comparing the summary to your tax returns will notice. Second, add a short note next to any month with an unusual swing, such as a large equipment purchase or a seasonal dip, so nobody has to guess.

Our guide to building a cash flow statement from bank statements goes into more detail on the layout. Always provide the original statements when a lender requests them; the summary is a helpful companion, not a substitute.

Your monthly routine after the catch-up

Once the backlog is cleared, the monthly process is short:

  1. Download the new statement for each account when it's available.
  2. Convert and verify each one. Record the result in the balance log.
  3. Append the transactions to the yearly workbook.
  4. Categorize new payees and add them to the rules table so they're handled automatically next month.
  5. Flag transfers, card payments, loan payments and owner activity.
  6. Import and reconcile in your accounting software, or update your summary if you work in Excel only.
  7. File the PDF alongside the workbook.

For most small businesses this takes well under an hour a month once the rules table is mature. If you want it as part of a fuller close process covering payables, receivables and payroll, our month-end close checklist puts the bank work in context.

A worked example

A family-owned restaurant banks with Fifth Third: an operating account, a payroll account and a business credit card. The owner fell five months behind on bookkeeping during a busy season and needs QuickBooks Online up to date before quarterly tax estimates.

  1. Collect. Fifteen PDFs, five per account. The balance chain is complete.
  2. Convert. The operating account statements are long, with frequent card settlement deposits, supplier checks and electronic payments.
  3. Verify. Fourteen statements tie out. One operating month is off. Total credits match the summary but total debits don't, and the debit difference equals two checks from the checks paid list that were printed side by side and read as one. Splitting them fixes the month.
  4. Flag. Transfers from operating to payroll, card payments, the equipment loan payment and two owner draws are flagged.
  5. Categorize. Food suppliers, beverage distributors, utilities, rent, payroll service fees and merchant fees are mapped by rules. The remainder are categorized by hand.
  6. Import. Each month is exported in QuickBooks Online's CSV layout and imported oldest first, before the bank feed start date.
  7. Reconcile. Each month is reconciled in QuickBooks.
  8. Handoff. The accountant receives the PDFs, workbook, balance log and a short notes list explaining the loan payment split and owner draws.

Troubleshooting

Two checks merged into one row. Multi-column check lists were read across. Split them and recheck.

A description continues on the next page. The continuation became its own row with no amount. Merge it into the transaction above and delete the blank row.

Headers repeat throughout the data. Each page repeats column headings. Filter for them and delete.

Service charges are missing. Some business statements summarize fees separately. If your difference equals the fee total, add the fee line.

Dates are text or the year is wrong. Convert with DATEVALUE, and handle December to January periods carefully.

QuickBooks rejects the file. Check for currency symbols in amounts, inconsistent date formats, extra header rows, or more columns than the layout you chose.

FAQ

Can I download Fifth Third statements as Excel files?

Online banking generally offers an export of recent activity in a spreadsheet-friendly format, but statements themselves are PDFs. Convert the PDFs when you need full statement periods, balances or older history.

Why don't my debits match the statement summary?

Common causes are a skipped checks list, merged checks from a multi-column layout, missing service charges, or a page-break split. Compare your debit total with the summary and look at the size of the gap.

Should I import statements into QuickBooks or rely on the bank feed?

Bank feeds are convenient for current activity. Statement imports are useful for periods before the feed started or for gaps. Don't import the same dates twice, and reconcile every month.

How do I handle loan payments on a business statement?

The statement shows the total payment. Interest is usually an expense and principal reduces the loan balance. You'll typically need the lender's statement to split them; ask your accountant how they want it recorded.

Can I use this for a personal Fifth Third account?

Yes. Skip the chart of accounts and owner draw steps and use budget categories instead. The conversion and balance check are the same.

What should I send my accountant?

The original PDFs, the converted workbook, a balance log showing each month ties out, and notes on anything unusual. That combination is easy to review and verify.

How many months should I convert for a catch-up?

Convert every month since your books were last reconciled. If you're starting fresh, many businesses begin at the start of the current fiscal year so the year's reports are complete. Ask your accountant whether they need prior periods too.

What if one statement just won't balance?

Work through the running balance against the daily balances to find the first mismatched day, then compare that day's transactions line by line with the PDF. If you still can't find it, check for a missing page in the PDF itself.
